No. 2 A Sample Assessment

This is a lightly disguised example — the kind of thing we hand a small services business after a first look. Yours will read differently, but the shape is about the same.

The business: A 9-person contracting outfit. Phones ring all day, quotes go out by text and email, invoices get chased by hand at month-end.

What we found

  • Missed calls become lost jobs. Roughly 1 in 5 inbound calls went to voicemail during busy hours. No log, no callback list — those leads simply evaporated.
  • Quotes lived in three places. Some in text threads, some in email, some on paper in the truck. Nobody could say what was outstanding without asking around.
  • Invoicing lagged 2–3 weeks. Work finished on time; the bill went out whenever someone got to it. Cash showed up late for no good reason.

  • Invoice on completion. Trigger the bill the day the job closes, not at month-end. This one change pulled cash forward by about two weeks.
  • Own your data. Consolidate to one system you control, so you're not renting two tools to do half a job each.
